Extended Care Program

The OES Extended Care Program (EC) is available to Lower School students from Pre-Kindergarten through the Fourth Grade. The Middle School After School Program enrolls students from the Fifth through Seventh Grades.

On certain “No School” days, the EC Program will offer special “All Day” programs. The Lower School EC All Day programs are available to students from Pre-K through Fifth Grade. Prior registration is required.

PROGRAM PHILOSOPHY
The OES Extended Care Program is designed to provide a positive after school experience for your child through both group and individual activities.

Within our flexibly structured program, your child will experience theme based projects, recreational and enrichment activities, free time, and special activities such as cooking, sports, and art. Field trips will be offered during many of the “All Day” EC programs.

For this more relaxed part of the day, children are under the watchful eye and nurturing guidance of our EC teachers who will foster and support independence, cooperation, and problem solving in a safe and caring environment.

We strive to maintain an enthusiastic and skilled staff. Parental interaction with the staff enhances our ability to serve your child’s needs and to plan our program for everyone’s benefit. Parents are encouraged to share concerns, suggestions, and observations with staff at pickup time, by note, by phone call, or by dropping in during a portion of EC time.

Everyone enrolled in the EC or ASC Program is welcome to attend the family barbecue night scheduled in May. We appreciate your trust in us to provide a positive and meaningful experience for your child. We look forward to developing a relationship with both you and your child.

ENROLLMENT PROCEDURES
Participation Agreement Contracts for EC are sent out in May. All EC enrollees need to complete a Participation Agreement Contract. Returning students requesting fulltime care are given priority followed by regular hourly users on a space available basis.

DROP-IN POLICY
Due to space and planning limitations, we are unable to guarantee drop-in care. We make every effort to accommodate OES parents, so please ask us 24 hours in advance for days you know you will need care. Fulltimers who know in advance the days they will not use EC are asked to notify the EC Office (503-416-9249) as early as possible so that a drop-in request might be accommodated. The drop-in fee is $7.00 per hour, with a one hour minimum.

HOURS OF OPERATION
The program is in session from school dismissal (12:30 p.m. for Pre-K and 2:45 p.m. for Kindergarten through Fourth) until 6 p.m., Monday through Friday.

NO SCHOOL DAYS
Advanced registration is required for children planning to attend EC on No School days. A registration form will be sent home in the Wednesday Envelope on blue paper several weeks prior to these dates. To secure a space, a completed registration form must be received by the due date. The nonrefundable, nontransferable payment will be billed to your student’s account. The EC All Day programs fill on a first come/first serve basis. Cost of these all-day programs are not included as part of the regular EC fees. The EC Program on such days will run from 7:30 a.m.–6 p.m. Children will need to bring a lunch during our “All Days.” We provide beverages. OES is not able to provide transportation to and from School on No School days. “All Days” will be held in the Common Hall.

EC LOCATION
The Pre-Kindergarten and Kindergarten EC children are located in the Beginning School wing. The Primary through Second Graders meet in the Common Hall, and the Third through Fourth Grade meet in the church basement. All students must be picked up from and signed out of their EC location The Fifth through Seventh Grade Middle School After School Program is based in the Middle School. However, their location will vary according to their activity schedule. You will receive notice of this schedule.

DAILY COMMUNICATIONS
It is imperative that the EC Program is notified when your child’s regular schedule changes, and when she or he will not be in the program. You may notify the EC office by sending a note to your child’s classroom or by calling at 503-416-9249 directly (503-768-3148 after hours). We have voice mail at both of these numbers and return calls promptly.

EC SIGN-OUT POLICY
Parents and persons authorized to pick up your child will find a sign-out book at the three EC locations. In addition to signing out, please make contact with the EC staff to let them know you are taking your child, so the staff will be fully aware of your departure.

If you wish your child to be picked up by someone not listed on the Authorization Form, we will need a written note or a phone message giving permission before we can let your child go. Staff will need proof of identity.

DISCIPLINE
On a day to day basis, we will reinforce positive behavior as frequently as possible. However, situations do arise in which staff intervention is necessary. We will encourage talking things out, problem solving, and occasionally use time-out. In cases of continuing conflicts, we will seek parental involvement.

OES reserves the right to exclude from EC students whose behavior is disruptive.

BILLING
There is an option of either paying for full-time EC by the month or in one payment at the beginning of the year. Monthly billing is included on your tuition statement at no interest and is payable by the first of each month from September through May. There is a late fee of 1.5% on payments received after the 1st of each month.

Hourly EC is billed by the month, and will appear on the following month’s statement from the business office.

If you wish to make a change in your child’s participation in the EC program which will affect your original billing status as noted in your Participation Agreement Contract, please notify us by the first of the month. The change will be effective the following month. The first change is free, and a fee of $20.00 is charged for each subsequent change.

LATE FEES
If you are detained and pick your child up after 6 p.m., there is a late fee of $60 per hour, computed to the nearest quarter hour. We appreciate everyone being on time. It is a good idea to have a back-up plan for those days when you are unavoidably late. Please let us know if this is a problem for you.

POLICIES FOR CLOSURES, MEDICATIONS, HEALTH & SAFETY
The Extended Care Program will follow the same procedures regarding these policies as apply to the Lower School in general.

SNACKS
All children are offered nutritious snacks and beverages in the afternoon EC Program. Except for special occasions we would prefer that children not bring sweets to EC. If your child has special dietary needs, please discuss this with the staff. No peanuts, peanut butter, or other peanut products will be served in the OES dining room or in the Lower School.

After School Classes
Registration forms and class descriptions will be sent home in the Wednesday envelopes in September and January. Classes run October through January and February through May. A completed registration form will secure your child a spot on a first come, first serve basis. The Business Office will bill your account for the After School Classes.

CHECK-IN AND SIGN-OUT PROCEDURES
Students enrolled in an After School Class will go directly outside the Common Hall if their class is starting at 3:00 (Beginning School children will be walked to the location). Students taking classes with later starting times need to check into EC and the teacher will pick them up and walk them to their class location. All children will be returned to EC at the end of their After School Class if they have not been picked up.

For students enrolled in EC, there will be no EC charge during the time students are in After School Classes. Parents must sign students out following their class. For your convenience, additional EC coverage is available with prior arrangement at the rate of $7.00 per hour.

Additional programs
In addition to the OES After School Classes, several nonschool activities may be offered on campus by private individuals because they provide services which are worthwhile and desired by OES families. These include Cub Scouts, Brownies, and private piano instruction. Although we provide space and assist leaders in establishing their programs, they are working privately and separately from Oregon Episcopal School. Children should be picked up by parents at the close of these activities, or, with prior arrangement, they may be checked in to the Extended Care Program.
