Volunteer Leadership Positions
We recruit for leadership positions for the next school year beginning in January and running through March. Please check back at that time to express your interest in a position.
All School (AS)
AS Auction Chair
Current Chair:
Funds from the Auction are primarily used to fund OES faculty educational enrichment and the AASK program. Funds have also benefited the OES campus in several other ways, including technological upgrades, the turf field, and traffic and parking improvements. The Auction is typically held in the March/April timeframe.
- Oversee planning and organization of annual Auction (Aardy’s Party)
- Work with volunteers to designate committees that plan this community event
- Provide oversight to all areas of the event planning, including the theme, procurement, food/beverage, entertainment, and decorations, publicity and advertising materials, catalog, and volunteer recruitment
- Thank committee leads (the auction volunteer coordinator is responsible for thanking other volunteers for the event)
AS Communications Chair
Current Chair:
The Communications Chair is responsible for initiating and supporting school-wide PCL communications efforts.
- Work closely with PCL Chair and Marketing Department to manage and update communications on Parent Home Page, ensuring material is relevant and timely
- Draft and publish minutes for monthly PCL meetings
- Offer suggestions and insight on methods and means to proactively and effectively communicate to parents and greater community
AS Community Building Coordinator
Current Chair:
The Community Building Coordinator is responsible for brainstorming, planning and executing a variety of events and initiatives that foster community among all OES constituents.
- Work closely with PCL Chair to identify specific events and initiatives for coming year
- Manage specific annual events and initiatives such as “Get Schooled”, Parent Involvement in Mt. Hood Climb Service Day, and the Pre-K/Lifer Luncheon
- Manage all aspects of agreed upon events including planning, coordinating, communications, volunteer recruitment, and documenting post-event evaluation
AS Community Diversity Link Chairs

Community Diversity Link (CDL) is composed of parents from each division – Lower, Middle and Upper – and is charged with raising the level of diversity awareness among the families in our community.
- Identify parent liaisons in all divisions
- Establish procedures for gathering, directing and responding to diversity issues
- Hold monthly meetings to share concerns and ideas, as well as to provide awareness activities and training to better equip parent liaisons in their role
- Host community events throughout the year to promote diversity awareness and understanding
- Manage CDL committee in communications and publicity needed for events and activities
- Manage the CDL content on the OES website, ensuring it is up-to-date and accurate
AS FOESL Chairs

- Lead Friends of the OES Libraries (FOESL) to support literacy at OES by bringing authors and illustrators to the campus and supporting library programming
- Manage fundraising events including the annual Fall Book Fair and the bi-annual Great OES Book Swap (GOBS)
- Work closely with divisional librarians and school administrators to schedule meetings, events and fundraising events
- Manage FOESL committee in communications and publicity needed for events and activities
- Manage the FOESL content on the OES website, ensuring it is up-to-date and accurate
AS Homecoming Chair
Current Chair:
The All School Homecoming Chair leads the effort to coordinate this All-School Alumni/Community sports event usually held in late September or early October
- Coordinate efforts across all three divisions of the school working in partnership with the Development Department, Catering, Parent Community Link, the Administrative Team, Student Council, and the Athletic Director
- Responsibilities include; development (in partnership with US Head and Student Council) of Homecoming activities across all three divisions, event communications and publicity, budget management, catering and food provisions, parade guidelines and management, event set-up and take-down/clean-up, as well as all volunteer recruitment and coordination

All School Musical Volunteer Coordinator
This position will coordinate all parent volunteers needed for the All School musical production and assist with communication to parents. Responsibilities include:
- Work with the faculty lead for the play to identify volunteer needs
- Set up and monitor VolunteerSpot to fill needs
- Coordinate snacks and meals for rehearsals
- Thank volunteers
Ideal candidate will have a child involved in the musical so that they are connected to musical related communications.
AS Parent Community Link (PCL) Treasurer
Current Treasurer:
The Parent Community Link (PCL) Treasurer manages all financial records for PCL, including oversight of divisional PAL budgets; manage overall budget and spending. Specific responsibilities include:
- Meet with Parent Community Link and PAL Chairs to determine annual budget spending, including ad hoc initiatives
- Review annual budget requests with PAL Treasurers
- Review business office reports to track spending and provide budget/spending update to PCL leadership
- Work with OES business office to issue reimbursement checks and make deposits
- Communicate event budgets to volunteer coordinators and chairs
- Provide spending status reports during the year
- Recruit, train, and manage divisional PAL Treasurers
- Oversee and submit budget requests for following year, a year-end report to OES business office and a year-end report at May PCL meeting
- Some computer skills (i.e. Excel, Quicken) are helpful.
AS Volunteer Coordinator
Current Coordinator:
The AS Volunteer Coordinator works closely with the division level Volunteer Coordinators to maintain VolunteerSpot and recruit volunteers. Responsibilities include
- Primary ownership of VolunteerSpot at OES
- Primary contact with the VolunteerSpot vendor , including following up on issues and concerns and submitting requests for improvements
- Ensure the OES account is renewed and paid annually
- Add and delete VolunteerSpot activities school-wide
- Maintain the OES Volunteer webpage
- Add descriptions and links for new activities, delete obsolete activities,
- In conjunction with event chairs and division level coordinators ensure activities descriptions and VolunteerSpot links are accurate
- Provide weekly updates to the OES webmaster regarding current /urgent volunteer needs
- Provide support to division level coordinators in recruiting chair positions and volunteers
- Collect and report volunteer hours to the OES administration and PCL
- Champion improvements to the parent volunteer process

Lower School (LS)
LS Parent Association Link (PAL) Chair
Current Chair:
The Lower School Parent Association Link (PAL) Chair assumes leadership for all Lower School PAL activities and meetings. The LS PAL Chair works closely with the Co-Chair, PCL Chair, Treasurer, Head and Assistant Heads of Lower School and teachers. Typically, this person will serve as the LS PAL Co-Chair the year prior. Responsibilities include:
- Work with the team to recruit volunteers for various LS events
- Provide opportunities that inform, educate and involve parents, including selecting topics and securing speakers that pertain to the interests of parents
- Organize and run monthly LS PAL meetings
- In conjunction with the Co-Chair, Head and Assistant Heads of Lower School, and PCL Chair, identify one Room Parent per grade to serve as a Grade Representative, as well as a Room Parent for each classroom
- Work closely with the Room Parents/Grade Representatives to engage parents in various school activities throughout the year
- Coordinate efforts with PAL team members to ensure that timely and appropriate communications are provided to LS parents
- Attend monthly Parent Community Link and LS Grade Rep Team meetings
LS Parent Association Link (PAL) Co-Chair Express Interest
Current Co-Chair:
The LS PAL Co-Chair assists the LS PAL Chair as needed for all LS PAL events, meetings, and activities. The LS PAL Co-Chair typically assumes the responsibilities of the LS PAL Chair the following year. Responsibilities include:
- Take and post PAL meeting minutes throughout the year
- Assist with Room Parent training sessions to ensure the group is aware of the duties and responsibilities of being a Room Parent
- Coordinate Room Parent training with the LS Volunteer Coordinator to ensure Room Parents are trained on VolunteerSpot prior to the beginning of the school year
- Act as a LS event resources coordinator helping to guide, and to be a liaison, for LS Event Chairs
- Assist in recruiting LS Event Chairs and supporting them with volunteer recruitment, event publicity and communications, and volunteer management and follow-up. Event volunteer follow-up includes ensuring a communication is sent from each event chair to all volunteers, thanking them for their involvement in a specific event, soliciting their feedback on the event, and asking for their participation as a volunteer with that event the following year.
- Partner with the LS PAL Chair and LS Head of School to manage the LS event calendar to ensure the appropriate and reasonable scheduling of events
- Attend LS PAL meetings, LS Grade Rep Team meetings, and Parent Community Link meetings
LS PAL Treasurer

The PAL treasurer is responsible for the LS PAL monies. Responsibilities include:
- Maintain financial records for LS PAL; manage overall budget and track spending
- Work with OES business office to issue reimbursement checks and make deposits
- Meet with Parent Community Link and PAL Chairs to determine annual budget spending
- Provide spending status reports during the year
- Train and manage activity of grade level treasurers
- Provide budget request for following year, a year-end report to OES business office and a year-end report at May PAL meeting

LS Volunteer Coordinator
Current Coordinator:
The LS Volunteer Coordinator works closely with the All School Volunteer Coordinator, the LS PAL Chair and Co-Chair. The Coordinator manages VolunteerSpot in the Lower School. This includes all outreach, training and system management regarding the LS volunteer opportunities in the VolunteerSpot system. Two-year commitment with past LS event experience is ideal. Responsibilities include:
- Prepare VolunteerSpot for the upcoming school year, ensuring all events and classroom activities are in place with the appropriate descriptions, dates, times and contact details
- Assist LS PAL Chair and Co-Chair in Room Parent training sessions
- Provide ongoing support to LS PAL Chair and Co-Chair, LS Room Parents and Event Chairs
- Update VolunteerSpot in the Spring/Summer removing all past classroom volunteers, updating event volunteers still interested in the upcoming year, and revising event and classroom activity descriptions, as needed
- Provide current needs updates to the AS Volunteer Coordinator each week for posting to the Volunteer webpage
- Attend monthly LS PAL meetings, LS Grade Rep meetings, and Parent Community Link meetings

The Grade Rep serves as the key leader for the grade. They also serve as a Room Parent for a specific class
- Help identify key topics and issues, communicating as needed, with parents, teachers and/or administration

- Meet with PAL Chair, Head and Assistant Heads of LS, as needed
- May assist Admissions with buddy family assignments and assist LS in recruiting and welcoming new families

The room parent organizes the classroom volunteers. Responsibilities include:
- Attend September Room Parent training sessions and host a “how to get involved” segment of Back-to-School Night for class
- Partner with teacher to make parents aware of key class and school events
- Manage VolunteerSpot for classroom and recruit classroom volunteers, ensuring needs are accurately shown in VolunteerSpot and volunteers are scheduled throughout year
- Educate parents about volunteer opportunities and upcoming events, both in the classroom and in the greater OES community
- Ensure class party organizers are coordinating with other classrooms
- Thank volunteers that have worked in the classroom
- Note: Room Parent assignments determined after classroom lists are published in August
LS Back to School Picnic Chair
Current Chair:
The Back to School Picnic chairs organizes the first LS community-building event of the school year, typically held Friday evening during the second week of school
- Work with volunteers and catering to plan activities, menu, manage new banner construction, faculty meal, set-up and clean-up staffing, as well as coordinate all volunteer efforts associated with event
- Thank volunteers at the conclusion of the event
- Event planning begins in April and continues through the Summer
LS Buddy Coordinators (2)
Buddy Coordinators partner with LS Admissions Associate to solicit participation of existing OES families for Buddy Family program and to help pair them with new families
- Work with LS Admissions Associate to host a Spring social event to welcome new and incoming families
- Assist in the coordination of Spring event details including volunteer recruitment, requesting attendance by key faculty groups, working with LS Admissions in preparing/assembling event packets, and helping with event activities (packet pick-up, scavenger hunt, Aardvark tattoos, coloring table)
- Attend and greet families at the Buddy Family event
- Coordinate summer play dates at OES for new families and all kindergarten and Pre-K families
LS Discovery Day Chair
Current Chair:
Discovery Day is an event that offers a wide variety of workshops for Primary through 2nd Grade students, utilizing resources both inside and outside the OES community. Workshops vary from year to year, but have included fencing, archery, paper-making, knitting, perfume making, etc. Workshops are small, ranging from three or four to ten children. Each child participates in two, one-hour workshops after lunch. The event is supported by funds set aside in the Lower School budget.
- Recruit OES volunteers and any additional outside support to run and assist workshops and schedules workshop locations
- Manage student selection process, including compiling, printing and distributing workshop descriptions and sign-up forms to students and matching students to the available workshops
- Orchestrate casual volunteer lunch the day of the event and light snack between workshops for students through on-campus catering
- Plan events with LS Administrative approval, reserve campus locations via request, and communicate via Room Parents and LS Wednesday Express

LS Faculty/Staff Snack Coordinator
Current Coordinator:
The Faculty/Staff Snack Coordinator coordinates snacks for faculty/staff meetings each month, as well as for Parent/Teacher conferences in the Fall and Spring. Lower School office determines and communicates meeting and conference dates.
- Arrange for parents (through sign-ups on Volunteer Spot) to provide snacks
- Purchase, deliver, and set-up additional conference snacks that are paid from the LS budget. These snacks are set up in the LS office.
- Thank volunteers that have provided snacks and/or snack done set-up
LS Homecoming Liaison

The LS Homecoming Liaison works with AS Homecoming Chair to coordinate and support age appropriate activities for the Lower School during this Fall community event
- Assist in working with Administration to ensure Lower School is appropriately involved in the celebration
- Assist with LS volunteer recruitment and management for the event, as well as LS publicity and communication
LS Parent/Daughter Dance Chair
Current Chair:
Works with PAL Chair to plan spring dance for Lower School girls and their parents within budget parameters.

LS Parent/Son Event Chair

LS Spooktacular Chair

Spooktacular is a LS community-building event during the Halloween season. Build-up to the event typically includes a pumpkin-carving contest. For the event itself, students (and parents and faculty) come in costume for an evening to include dinner, activities, and games in the Gym, Common Hall, LS Library and LS Playground. In addition, there is a Haunted House and a Magic Show. The event is supported by funds set aside in the Lower School budget. This role is ideally a two-year commitment, serving first year as Co-Chair.
- Responsible for volunteer recruitment, including a Co-Chair, to oversee all aspects of the event, as well as event publicity
- Recruit parent and student volunteers
- Manage and coordinate volunteers, OES Food Service, private vendors, and OES Facilities staff for all Spooktacular activities
- Oversee the pumpkin carving contest, event set-up and take-down, games staffing, all prizes and the cupcake walk
- Manage the Haunted House Coordinator, who oversees the design, decoration, building and staffing of the Spooktacular Haunted House with assistance from volunteers, including US students
LS Teacher Appreciation Day
Current Chair:
LS Teacher Appreciation Day is an event typically held in May that commits an entire day to honor the LS faculty and staff. The event has featured a breakfast welcome in the morning, as well as a program and dining event in the OES Dining Hall at the end of the school day.
- Coordinate all aspects of the event
- Confirm date, timing and location with Head of Lower School
- Lead committee in brainstorming event specifics, coordinating food, beverages, and decorations, and teacher appreciation activities
- Recruit volunteers to assist with set-up and clean-up for event, as well as coordinate all volunteer efforts associated with event
- Publicize event through LS Room Parents and Wednesday Express

LS Used Uniform Chair
Current Chair:
OES families donate uniforms to closet (Room 10) and volunteers clean, mend, sort and make uniform items available for purchase during the school year in Room 10.
The Used Uniform Chair manages the overall operation of used uniform closet, including managing volunteers who staff closet
- Conduct monthly bookkeeping to ensure that proceeds are collected and accounted for by LS PAL
- Help organize special events including uniform gathering after the 5th Grade Uniform Parade in late May, sales at the Buddy Family event in June, and beginning and end-of-year Sidewalk Sales

LS Walk for Fun & Fitness Chair
Current Chair:
Walk for Fun & Fitness is a Lower School event that happens once in the Fall and once in the Spring. The purpose of the event is to promote awareness of health, fun, and fitness. Following a kick-off morning assembly, students, faculty, and staff are encouraged to complete as many laps around the OES track as possible in the course of a school day.
- Work with LS Administration to schedule specific dates and promote the event
- Recruit OES volunteers to support students on the OES track for specific time slots
- Schedule these volunteers to ensure consistent support throughout the day
- Volunteer support includes marking the students’ lap cards, offering words of encouragement, and in some cases, joining students for a lap or two around the track

Middle School (MS)
MS Grade Rep - 6 to 8

Grade Reps serve as key leaders for a grade, facilitating clear and open communication between parents and administration
- As a team work with MS Head to set agenda for monthly MS wide PAL meetings
- Rotate the running of the monthly PAL meetings
- Attend monthly Grade Rep meetings with MS Head
- Attend monthly Parent Community Link meetings and report back to PAL meeting attendees
- Facilitate one or more grade level social events for parents and families annually
- The 8th grade rep serves as the Grade Rep team lead
MS PAL Treasurer

MS 8th Grade Promotion Chair

This position coordinates the planning of the end of year 8th grade promotion celebration.
- Form a committee to do the planning of the event
- Work with MS Head, 8th grade parents and teachers to make arrangements for event
- Lead committee in planning, including selecting the location, theme, food, entertainment, decorations (setup/cleanup), and slide show generation.

MS DEAR Baking Coordinator
Current Chair:
This position recruits and schedules volunteers for monthly baking requirements for the Drop Everything And Read program for the entire Middle School.
- Work with the MS library staff to determine schedule and baking needs
- Recruit volunteers and monitor sign-ups to ensure baking needs are met

MS Homecoming Liaison
The MS Homecoming Liaison works with AS Homecoming Chair to coordinate and support age appropriate activities for the Middle School during this Fall community event
- Assist in working with Administration to ensure Middle School is appropriately involved in the celebration
- Assist with MS volunteer recruitment and management for the event, as well as MS publicity and communication
MS Service Learning Coordinator
Current Coordinator:
This position organizes drivers for the three MS service learning days (October, February, and May)
- Recruits parent drivers
- Matches drivers to agencies to ensure all students and faculty have transportation to and from events
- Works with faculty service learning lead to understand driving needs for each agency
- Communicates parent driver assignments to faculty via a Google Doc
- Works with Facilities, MS Office and faculty service learning lead to schedule parent driver training

MS Teacher Appreciation Chair

This position organizes the Spring Teacher Appreciation Luncheon and coordinates volunteers to provide refreshments to teachers and staff on student conference days
- Luncheon responsibilities include selecting the theme, making decoration decisions, arranging for facilities support as needed and coordinating volunteers who provide food and staff the event.
- Recruit volunteers to provide snacks for student conference days; work with MS Office to determine timing and quantity
